Executive Administrative Assistant
This position plays a key role in the start-up endeavor by providing support to the COO. Daily activities may include interaction with high-level contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, and a wide latitude for exercising discretion and judgment.

Duties:
- Provides administrative support for the Chief Operating Officer of the institute to include; agendas, calendaring, scheduling, handles sensitive documents and materials
- Maintains organized data retrieval systems to promote efficient operations
- Review incoming correspondence and initiate responses as appropriate; route matters requiring action by staff and other organizations and follow up
- Review outgoing correspondence, edit for procedural and grammatical accuracy, conformance to general policy and factual correctness
- Prepare and process documents and transactions, reviewing for accuracy and completeness, and update information and/or evaluate against institute guidelines
- Prepares high quality presentations, reports, and other documents using word processing, spreadsheet and presentation software packages;
- Other duties include project coordination and event planning, maintaining databases and spreadsheets
- Provides administrative support for the Administrative and Benefits Manager and acts as a back-up as needed to cover absences
Minimum Qualifications:
- Advanced level of knowledge with Microsoft Office Suite products
- Ability to multi task, handle interruptions and changing priorities
- Strong project management skills
- Ability to work with all departments and at the executive level
- Ability to make independent decisions or solve problems by using logic to identify key facts, explores alternatives, and proposes appropriate solutions
- Team player and work collaboratively
- Excellent written communication skills, such as the use proper grammar, spelling and punctuation when reviewing and/or editing documents for accuracy and completeness
- Excellent verbal communication skills, demonstrated by the ability to speak clearly, concisely and effectively; listen to and understand information and ideas as presented verbally; and communicate information and ideas clearly.
- Must be flexible with the ability to juggle varying priorities and comfortable working in a dynamic high energy, fast-paced environment
Preferred Qualifications:
- Proven ability to interact in a multicultural/language environment
- Work experience in a not-for-profit
